At a glance

AgroGate is a business-to-business platform for physical commodity trade. It connects communication channels, turns raw trade messages and documents into structured intelligence, and helps teams manage market signals, counterparties, logistics, and outreach. In this policy, “AgroGate,” “we,” “us,” and “our” refer to the provider of the AgroGate service at agrogate.net.

Your organization controls its workspace

Organization administrators choose integrations, members, roles, and the business content submitted for processing.

Connected data is purpose-limited

We use connected communications to provide the features described here—not for advertising or sale.

When a customer submits personal information about employees, suppliers, buyers, brokers, forwarders, or other contacts, that customer is generally responsible for deciding why the information is processed. AgroGate processes it to provide the requested service. For account administration, security, and our own service analytics, AgroGate may act as an independent controller under applicable law.

Information we collect

Account and organization information

  • Your name, business email, password hash, phone number, company, business type, country, verification status, and support communications.
  • Organization name, logo, website, sector, city, country, member roles, invitations, and account-administration history.
  • Authentication tokens, email-verification and password-reset records, and integration connection status.

Trade and workspace content

  • Market offers, buy requests, RFQs, freight quotes, shipment routes, container or booking references, counterparties, contacts, commercial terms, notes, uploaded files, and supporting trade documents.
  • Copilot prompts and responses, conversation history, corrections, review notes, saved drafts, and feedback.
  • Information about third parties included in business communications, such as names, companies, job functions, email addresses, phone numbers, and quoted statements.

Derived intelligence

We create structured and derived records from submitted content, including products, origins and destinations, prices, quantities, payment and shipment terms, sentiment, risk flags, confidence scores, deadlines, profiles, summaries, embeddings, market briefs, and suggested next actions.

Technical and usage information

We may process IP address, request and error information, browser or device details, timestamps, feature events, login and security events, AI usage metadata, and audit history. We also store necessary interface preferences, authentication state, drafts, and cache data in your browser.

Connected communications

AgroGate can connect to supported email, messaging, collaboration, and other business tools. When you authorize a connection, we process the account details, credentials, content, metadata, and files made available through the permissions you grant. These principles also apply to compatible tools added in the future, with additional notice or consent where required.

Google Workspace and Gmail

If an authorized organization administrator connects Gmail, AgroGate requests permission to identify the connected email account, send email on the user’s behalf, and read mailbox content. The Gmail read-only scope technically permits access to messages and settings; AgroGate uses it to retrieve the message lists, headers, bodies, threads, and supported attachments needed for the features below.

We read new inbox messages to identify market offers, logistics RFQ replies, and related trade intelligence. We extract text from supported PDF, XLS, XLSX, and CSV attachments, create user-visible structured records, and may send test messages and user-initiated logistics RFQs from the connected account.

OAuth access and refresh tokens are encrypted at rest. A disconnect request clears locally stored tokens and attempts to revoke provider access. Disconnecting stops future mailbox access but does not automatically delete RFQs, quotes, market signals, or other records already created in the workspace.

AgroGate’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

We do not sell Google user data, use it for advertising or credit decisions, or use it to train or improve generalized AI or machine-learning models. Human access is limited to the circumstances permitted by Google’s policies, such as with the user’s explicit consent, for security and abuse investigation, or when required by law.

Other connected email services

If you connect another supported email service, we process the connected email address, authorization credentials, new message headers and bodies, supported attachments, and outgoing messages for substantially the same trade-intelligence, RFQ, and reply-processing purposes described above. The applicable provider also processes your data under its own terms and privacy policy.

Messaging and collaboration services

When a user connects a supported messaging or collaboration tool and selects conversations, we may process account identifiers, display name, phone number, selected group or direct-chat identifiers and names, participant counts, messages, quoted messages, files, images, and voice-note transcriptions delivered through that connection. Connection credentials are encrypted. Disconnecting erases active credentials and stops future delivery, but intelligence already created from imported messages may remain in the organization workspace.

How we use information

  • Create, authenticate, secure, and administer user accounts, organizations, memberships, and invitations.
  • Connect communication channels and retrieve, route, display, send, and process business messages at your direction.
  • Extract and normalize trade data, build market intelligence, match logistics replies, maintain counterparty context, and generate summaries and alerts.
  • Provide shipment tracking, exchange-rate context, document processing, exports, and other requested trade workflows.
  • Operate the Copilot and other AI-assisted features visible in the workspace.
  • Monitor reliability, diagnose errors, prevent fraud and abuse, enforce permissions, support users, and improve product usability.
  • Comply with legal obligations and protect the rights, safety, and integrity of AgroGate, our customers, and others.

We do not use connected communication content for third-party advertising, sell it to data brokers, or use it to determine eligibility for credit, employment, housing, insurance, or other similarly consequential opportunities.

AI processing and automated features

AgroGate uses AI models and embeddings to classify messages, extract structured trade terms, transcribe or summarize content, connect related information, produce market briefs, and answer workspace questions. Relevant message text, attachment text, document content, workspace context, and user prompts may be sent to OpenAI acting as a service provider to generate these results.

AI output can be incomplete or inaccurate. AgroGate is designed to support professional judgment, not replace it. Users should review extracted terms, pricing, counterparties, risk flags, and suggested actions before relying on them or communicating externally.

We do not make solely automated decisions that produce legal or similarly significant effects about individuals. Review actions, corrections, and user interactions may be used to improve the requesting organization’s experience and AgroGate’s extraction workflows, but Google Workspace data is not used to train or improve generalized AI models.

How we share information

We disclose information only as needed to operate requested features, secure the service, comply with law, or complete a corporate transaction subject to appropriate protections.

Members of your organization can access workspace information according to their assigned roles. We may also disclose information to professional advisers, auditors, insurers, authorities, or other parties when reasonably necessary to establish or defend legal claims, meet legal obligations, investigate abuse, protect safety, or complete a merger, financing, acquisition, or sale of assets.

AgroGate does not sell personal information and does not share it for cross-context behavioral advertising.

Retention and deletion

We retain information for as long as needed to provide and secure AgroGate, maintain the organization’s business records, comply with law, resolve disputes, and enforce agreements. Retention depends on the type of information and how the workspace is configured.

  • Account and workspace records are generally retained while the account or organization remains active. Archiving an organization disables access and integrations but may preserve its records for potential restoration and legal needs.
  • Authorization tokens and similar credentials are retained while a tool remains connected. Disconnecting clears local credentials and initiates provider revocation where supported.
  • Messaging-service pairing credentials are retained while the connection is active and erased when it is disconnected.
  • Temporary email-processing copies of bodies and attachment files are cleared after successful processing. Structured results, source excerpts, normalized messages, and derived intelligence may remain as workspace records.
  • Logs, analytics, and backups are retained for operational, security, continuity, and legal periods appropriate to their purpose, then deleted or de-identified.

Disconnecting an integration stops future collection; it does not by itself erase previously created records. To request deletion of an account, workspace, imported communications, or derived data, emailinfo@agrogate.netfrom your account email. We may verify identity and organizational authority before acting. We will respond within the period required by applicable law. Limited information may be retained where required by law, necessary for security or dispute resolution, or present in protected backups until those backups are overwritten.

Security

We use administrative, technical, and organizational safeguards designed to protect personal information. These include HTTPS, encrypted authorization and connection credentials, password hashing, role-based organization access, tenant-scoped records, restricted production configuration, audit and error logging, bounded file processing, and provider-token revocation on disconnect.

No system can guarantee absolute security. Keep account credentials confidential, use strong unique passwords, limit organization access to authorized people, and disconnect integrations you no longer use. If you believe your information or account has been compromised, contact us promptly at info@agrogate.net.

Your rights and choices

Depending on where you live, you may have rights to access, correct, delete, restrict, or object to processing of personal information; receive a portable copy; withdraw consent; and complain to a data protection authority. California residents may also request details about categories, sources, purposes, and recipients of personal information and exercise applicable access, correction, and deletion rights without discriminatory treatment.

  • Update profile and organization details through AgroGate settings where those controls are available.
  • Disconnect an email, messaging, collaboration, or other connected tool from Settings to stop future access through that integration.
  • Contact your organization administrator about workspace access, corrections, exports, or deletion of customer-controlled content.
  • Email info@agrogate.net to make a verified privacy request or withdraw a consent that cannot be managed in-product.

We may need to verify your identity and authority. If AgroGate processes information solely on behalf of your organization, we may direct the request to that organization or help it respond. You may appeal a denied request by replying to our decision, where local law provides that right.

Cookies, local storage, and similar technology

AgroGate uses browser storage and similar technology needed for authentication, security, interface preferences, onboarding state, drafts, conversation continuity, and short-lived application caches. Disabling necessary storage may prevent login or other features from working correctly.

Public pages load resources or links from providers such as Google Fonts, Carto, and Calendly, which may receive IP address, browser headers, and request timestamps under their own privacy policies. We do not use third-party advertising cookies or behavioral advertising trackers.

International transfers

AgroGate serves international trade teams and uses service providers that may process information in the United Kingdom, European Economic Area, United States, and other countries. These countries may have privacy laws different from those where you live. Where required, we use contractual protections, adequacy decisions, or another lawful transfer mechanism and apply appropriate technical safeguards.

Children’s privacy

AgroGate is a business service and is not directed to children. You must be at least 18 years old, or the age of legal majority where you live, to create or administer an account. We do not knowingly collect personal information from children. If you believe a child has provided information to AgroGate, contact us so we can investigate and delete it where appropriate.

Changes to this policy

We may update this policy when our product, providers, or legal obligations change. We will post the revised version here and update the effective date. If a change materially affects how we use personal information, we will provide additional notice through the service or by email where required. If a new use of Google user data requires renewed consent, we will obtain that consent before beginning the new use.
